This document brings together answers to the questions we hear most often from businesses considering or already using Scholargrowth, the web-based business management platform for small businesses, freelancers, consultants, agencies, and other service-based businesses. It is organised by topic, moving from general questions about the platform through to specific questions about each of its modules, pricing and billing, data and security, and support.

General Questions

What is Scholargrowth?

Scholargrowth is a web-based business management software platform designed for small businesses, freelancers, consultants, agencies, and other service-based businesses. It combines customer relationship management, lead and sales pipeline management, project and task management, HR administration, invoicing, income and expense record-keeping, and business reporting tools within one online workspace, so that a business does not need to maintain several separate, disconnected systems for these functions.

Who is Scholargrowth built for?

The platform is built for freelancers, consultants, marketing and creative agencies, IT service businesses, other professional service providers, small businesses more generally, and growing teams that need to coordinate customers, projects, and employees. It is aimed specifically at service-based businesses, where the core administrative needs tend to revolve around customer relationships, delivered work, and the people who deliver it.

Is Scholargrowth delivered as software as a service (SaaS)?

Yes. Scholargrowth is provided as software as a service, meaning customers purchase a selected Package with a single one-off payment for lifetime access and use the Service through a web browser, rather than installing and maintaining software on their own servers or devices.

What makes Scholargrowth different from using separate tools for each function?

The main difference is that Scholargrowth keeps customer, project, employee, and financial information connected within a single underlying system, rather than scattered across several disconnected applications. A customer record can be linked to an active project, which can be linked to an invoice, which can be linked to a recorded payment, all within the same account. This reduces duplicated data entry, makes reporting more complete, and gives a business owner a more accurate overall picture of their operations than piecing together information from several separate tools.

Is Scholargrowth suitable for a business with just one person?

Yes. A significant part of the platform's design is aimed at freelancers and independent consultants managing a handful of clients, who still need to track customer information, manage projects, issue invoices, and record expenses, but who do not have the time, budget, or need for several separate specialised tools.

Is Scholargrowth suitable for larger teams?

Yes. As a business grows, adding employees and taking on more concurrent projects, the platform's project management, task assignment, and HR administration tools become increasingly relevant, and the reporting tools help maintain visibility that would otherwise be difficult to achieve once a business is too large for one person to track everything by memory. Different Packages accommodate different team sizes and usage levels.

Getting Started

How do I get started with Scholargrowth?

Getting started involves choosing a Package that matches your business requirements, creating an account and providing the information required to use the platform, and then configuring your workspace by entering your customer, project, employee, and business information. From there, you use the available tools to manage your business day to day, and use the dashboard and reporting features to review your activity over time.

Do I need any technical knowledge to use Scholargrowth?

No particular technical knowledge is required. The platform is designed to be understandable and practical for business owners and their teams, without requiring specialist software training. As with any new tool, there is a short period of getting familiar with where things are and how the different areas connect, but the underlying structure — customers, leads, projects, tasks, employees, documents, invoices, income and expenses, payments, and reports — is intended to map onto how a service business already thinks about its own operations.

Can I import data from a spreadsheet or another tool when I get started?

Many businesses moving to Scholargrowth are coming from a mix of spreadsheets and other single-purpose tools. Depending on your Package and the specific area of the platform, import options may be available to help bring existing customer, project, or financial data into your account. If you have a substantial amount of existing data to migrate, our support team can advise on the best approach for your situation.

How long does it take to set up a workspace?

This varies depending on the size and complexity of the business. A freelancer with a handful of clients might have a working setup within an hour or two, entering their existing clients and any active projects. A larger agency with many clients, projects, and employees will typically take longer to fully populate their workspace, though there is no need to enter everything at once — many businesses start with their most active customers and projects and build out the rest of their records over the following weeks.

Can I try Scholargrowth before committing long-term?

Yes. Eligible purchases are covered by a 14-day money-back guarantee, which gives new customers a genuine opportunity to explore the platform and determine whether it fits their business before deciding whether to keep it, subject to the conditions set out in our published refund policy.

Customer and Lead Management

Can I manage my customers within Scholargrowth?

Yes. The platform provides customer relationship management functionality for creating customer profiles, storing contact information, maintaining a history of interactions, and organising other information relevant to each customer relationship, all within a central, searchable location rather than scattered across email and personal notes.

Can I track leads and sales opportunities?

Yes. Scholargrowth includes lead and sales pipeline management tools that let you record potential customers, move them through defined pipeline stages, log follow-up activity, and monitor which opportunities are new, in progress, or close to being finalised.

Can I customise the stages of my sales pipeline?

The pipeline tools are designed to let a business structure its sales workflow around the way it actually operates, rather than forcing every business into an identical, fixed process. The specific configuration options available for pipeline stages depend on your Package.

What happens to a lead once it becomes a customer?

When a lead converts into an active relationship, it can become a full customer profile within the platform, and the history recorded during the sales process, including follow-ups and notes, remains associated with that customer going forward. This means the full arc of the relationship, from the first point of contact through to ongoing delivered work, stays connected in one place.

Can more than one person on my team manage the same customer?

Yes, subject to the number of Authorised Users included in your Package. Multiple team members can access and update the same customer record, which is particularly useful for businesses where more than one person may be involved in a given relationship, such as a salesperson who won the account and a project manager who now delivers the work.

Projects and Tasks

Can I manage projects and tasks in Scholargrowth?

Yes. The platform's project management tools let you create individual projects, keep related information together, and break each project down into individual tasks that can be tracked and assigned separately.

Can tasks be assigned to specific team members?

Yes. Tasks can be allocated to specific employees or team members, creating clarity around who is responsible for each piece of work, which is particularly valuable once a business has more than a handful of people involved in delivery.

Can I set deadlines and track progress?

Yes. Deadlines can be attached to tasks and projects and kept visible within the dashboard, and progress can be reviewed at both the task and project level, giving managers and business owners a structured way to understand where things stand across multiple pieces of work at once.

Are projects connected to customer records?

Yes. Projects can be linked to the customer they relate to, so that a business can view, from a single customer's profile, which projects are currently active, which have been completed, and how that work fits into the wider relationship.

How many projects can I have active at once?

The number of projects, tasks, and other usage limits available depend on the specific features included in your selected Package. Businesses expecting to manage a large volume of concurrent projects should review package details carefully when choosing the right Package for their needs.

HR Administration

Can I manage employee records within Scholargrowth?

Yes. The HR administration tools allow you to create and maintain employee profiles, including relevant role and contact details, keeping this information centralised rather than scattered across personal files and informal notes.

Does Scholargrowth help with onboarding new employees?

Yes, the platform allows you to organise information and documentation associated with employee onboarding, bringing some structure to a process that can otherwise be ad hoc, particularly in smaller businesses without a dedicated HR function.

Can I track employee leave?

Yes. Leave management tools allow you to maintain records related to employee leave within the same system as other employee data, rather than in a separate spreadsheet or calendar disconnected from the rest of your employee records.

Can I store employee documents, such as contracts?

Yes, subject to the storage limits of your selected Package. Employee documents, including contracts, certifications, and other relevant paperwork, can be stored and organised within the platform, connected to the relevant employee's record.

Does Scholargrowth process payroll?

No. Scholargrowth does not process payroll and does not act as a payroll provider. The HR administration tools are designed to help organise administrative employee information; businesses continue to use their own preferred payroll system or provider alongside Scholargrowth.

Does Scholargrowth act as an employer of record?

No. Scholargrowth provides administrative software tools only, and does not operate as an employer of record for any business using the platform. Businesses remain fully responsible for their own employment relationships and compliance with applicable employment law.

Invoicing and Payments

Can I create invoices within Scholargrowth?

Yes. The invoicing tools let you prepare invoices for customers based on your specific business requirements, capturing the customer, services or items billed, and the amounts due, all within your account.

Can I track whether an invoice has been paid?

Yes. Invoices can be monitored for status, such as outstanding or paid, giving you a clearer view of which customers still owe payment and helping you follow up on overdue invoices in an organised way.

Are invoices connected to customer and project records?

Yes. Invoice information can be maintained alongside the customer and project records it relates to, where appropriate, so that you can see a customer's invoice history directly from their profile rather than searching a separate invoicing tool.

How are payments to Scholargrowth itself processed?

Scholargrowth uses Stripe to process payments for its Packages. Each Package is a single one-off payment, and depending on availability and eligibility, supported payment methods may include card, Bacs Direct Debit and Klarna. Payment processing is handled securely through Stripe, and Scholargrowth does not hold or transmit customer funds on behalf of third parties.

Does Scholargrowth support online payment collection from my customers?

The specific payment collection features available for invoices issued to your own customers depend on your Package. Please refer to your package details or contact support for the most current information on available payment collection options.

Income, Expenses, and Reporting

Can I record income and expenses in Scholargrowth?

Yes. The platform allows you to record business income and expenses for your own business management and record-keeping purposes, giving you a centralised view of the financial information you choose to enter into your account.

Does Scholargrowth provide accounting services?

No. Scholargrowth provides software tools for financial record-keeping, such as recording income, expenses, invoices, and payment statuses, but it does not provide accounting services, and it is not a substitute for working with a qualified accountant.

Does Scholargrowth provide tax advice or file tax returns?

No. Scholargrowth does not provide tax advice and does not file tax returns on behalf of customers.

Businesses remain responsible for their own tax obligations and should consult an appropriately qualified professional where specialist tax advice is needed.

Can I generate reports from my Scholargrowth data?

Yes. Business reporting tools let you review information stored within your account, which may cover areas such as customers, projects, tasks, invoices, income, and expenses, depending on the features included in your selected Package.

Does Scholargrowth verify the accuracy of the information I enter?

No. Reports and other outputs are generated based entirely on the information customers themselves enter into the platform. Scholargrowth does not independently verify the accuracy of customer-entered information, so the reliability of your reports depends on the accuracy and completeness of the data you record.

Pricing and Billing

How does Scholargrowth pricing work?

Each Scholargrowth Package is a single one-off payment in GBP for lifetime access — not a recurring subscription. There are no monthly or annual charges and nothing renews. Different Packages offer different combinations of features, usage limits, user allowances, storage capacity, and reporting functionality, and prices are shown on the pricing page and confirmed at checkout before you pay.

Can I change my Package later?

Yes. As your business needs change, you can move to a different Package by buying it from the pricing page while signed in, or by contacting our support team. The new Package is a separate one-off payment and applies to your existing workspace, so your records stay as they are.

What happens to my payment if I upgrade or downgrade?

A Package change takes effect as soon as checkout for the new Package is complete. Because each Package is a one-off payment, there are no billing periods to prorate, and unless we state otherwise at checkout, the amount paid for your previous Package is not credited or refunded. The details are set out in our Refund Policy and Terms and Conditions.

Is there a free trial?

Where a free trial or promotional offer is available, its specific terms are shown at the time it is offered. You are only charged when you complete checkout for a Package, so there is nothing to cancel at the end of a trial. Eligible purchases are also covered by our 14-day money-back guarantee.

Can I get a refund if I am not satisfied?

Eligible purchases are covered by a 14-day money-back guarantee, allowing you to request a full refund of the one-off payment for your first Package within 14 days of purchase, subject to the conditions in our published Refund Policy. Refunds outside this window are generally not available, except in limited circumstances such as billing errors, as described in that policy.

Do I need to cancel anything to stop being charged?

No. Each Package is a single one-off payment for lifetime access, so there is no subscription to cancel and you will not be charged again. If you would like to close your account, contact our support team; we recommend exporting any information you want to keep first.

Data, Security, and Access

Who owns the information I enter into Scholargrowth?

You do. Scholargrowth is designed to help you organise information that you enter into the platform, and you remain responsible for that information, including its accuracy, appropriateness, and legal compliance. Scholargrowth does not claim ownership over your business data.

Is my data secure?

Scholargrowth is designed with your business information's security in mind, and the platform is delivered over the web using industry-standard security practices. You also play a role in keeping your account secure, including by maintaining appropriate access controls and protecting your login credentials, as described in our Terms and Conditions.

Can I control which team members have access to certain information?

Where your Package supports multiple Authorised Users, you are responsible for managing access permissions within your account, including determining which team members can access particular areas of the Service, such as employee records or financial data.

Do you use cookies?

Yes, both on our public website and within the authenticated dashboard, primarily to support core functionality such as staying logged in, along with more limited use of analytics and, on our marketing website, functionality-related cookies. Full detail is available in our Cookie Policy.

What happens to my data if I close my account?

Your right to access the Service ends when your Account is closed or terminated. Scholargrowth may retain a copy of your Content for a limited period afterwards, in line with its data retention practices, after which it may be permanently deleted. We recommend exporting or otherwise preserving any information you wish to keep before closing your account.

Can I export my data before closing my account?

We recommend reviewing the export options available within your Package and exporting or otherwise preserving any customer, project, employee, or financial information you wish to retain before your Account is closed, since access to that information ends once the Account is closed and Content may eventually be deleted in line with our data retention practices.

Does Scholargrowth process personal information about my customers and employees?

Where you choose to store personal information about your own customers or employees within Scholargrowth, you act as the controller of that information, and Scholargrowth processes it on your behalf solely to provide the Service. You are responsible for ensuring you have an appropriate legal basis for collecting and storing that information, consistent with applicable data protection law.

Where is my data hosted?

Details of where Scholargrowth hosts customer data, and the technical and organisational security measures applied, are set out in our Privacy Policy and, where applicable, in any separate data processing agreement entered into with your business. Please refer to those documents, or contact support, for the most current information.

Support and Troubleshooting

How do I contact support?

Our support team can be reached through the contact channels made available on the Scholargrowth website, for questions relating to your account, purchases and billing, platform functionality, and general use of the Service.

What information should I include when contacting support?

It's helpful to include relevant information about your account and a clear description of the issue you are experiencing, so that our team can understand your request and respond as efficiently as possible.

Does support availability differ by Package?

The specific level and availability of support may vary depending on your Package. Please refer to your package details for specifics, or contact our sales team if you are unsure which package best matches your support needs.

What if I think I've found a technical issue with the platform?

Please contact our technical support team with details of the issue, including what you were trying to do, what happened instead, and any relevant information such as the browser or device you were using, so that we can investigate.

Can I request a feature that isn't currently available?

We welcome feedback from customers about features that would be useful to their business. While we cannot guarantee that every suggestion will be implemented, customer feedback plays a role in how we prioritise future development of the platform.

How quickly can I expect a response from support?

Response times can vary depending on the nature of the request and the support level associated with your Package, but our support team aims to acknowledge enquiries within a reasonable period and to keep you updated on progress for issues that require more detailed investigation.

Is support available if I am on a lower-tier Package?

Yes. All Customers have access to support through the channels made available on our website, regardless of Package, though the specific response times or support channels available, such as priority support, may differ between packages.

Choosing the Right Package

How do I know which Package is right for my business?

The right package generally depends on the size of your team, the number of customers and projects you expect to manage, and which modules matter most to your business, such as whether HR administration or advanced reporting are priorities for you. Reviewing the feature and usage limit comparisons available during the purchase process is a good starting point, and our sales team is also available to help you think through which package fits your specific situation.

What happens if I outgrow my current package?

You can upgrade to a package with higher usage limits or additional features at any time. The upgrade generally takes effect immediately, with any additional fee charged at the time of the change, so that you are not left waiting to access the additional capacity your growing business needs.

Can I downgrade if my business needs change?

Yes. You can move to a lower-tier Package if your needs change by contacting our support team. You should first check whether any Content or usage currently on your account, such as document storage or the number of active users, fits within the limits of the Package you are moving to. Moving to a lower-priced Package does not give rise to a refund of the difference.

Do all packages include every module described on the Scholargrowth website?

Not necessarily. Different packages may include different combinations of features, usage limits, and modules. We recommend reviewing the specific package details available at the time of purchase to confirm which modules and limits are included in the package you are considering.

Is pricing the same for every business, or can I get a custom arrangement?

Standard pricing for each Package is displayed during the purchase process. Businesses with larger or more specific requirements, such as bulk purchases covering multiple accounts or custom implementation needs, can contact our sales team to discuss whether a custom arrangement is appropriate.
